Dedicated Lockers
If your standalone lockers are running in Dedicated Locker mode, managers could assign one or more cells to a specific employee. The employee can only access the assigned cells.
If access card system is used, the employee could tap access card on the reader, and the assigned cells will be opened automatically.
If no cells have been assigned to the employee, the employee will not be able to access any cells.
Assign and Unassign Cells
As manager, you can assign and unassign cells to an employee. When you are assigning cells, you could also nominate the expiry date of the assignment. The employee will lose access to the assigned cells after the expiry date. To track the assignment, you could also specify the notes for the assignment, this text will be shown in the audit log.
Assigning Cells with Expiry Time
To assign a cell to an employee:
- Navigate to the dedicated locker cell management page
- Click on Assign Employee for an available cell
- Select the employee from the dropdown list
- Set the Expiry date and time using the date picker
- The timezone displayed is your organization’s configured timezone
- Use the format: dd/MM/yyyy HH:mm:ss
- You can clear the expiry time if needed by clicking the clear button
- Optionally, add Reference notes to track why this cell was assigned
- Click Save to complete the assignment
Viewing Cell Assignments and Expiry Times
When viewing the dedicated locker cells list, assigned cells will display:
- The employee’s name
- The expiry date and time in a smaller font below the employee’s name (format: “Expires: dd/MM/yyyy HH:mm”)
- This makes it easy to identify which assignments are approaching expiration
Expiry Notifications
The system automatically monitors expired cell assignments:
- A scheduled task runs daily to check for expired cell assignments that haven’t been accessed
- When an expired assignment is found (where the employee never opened the cell), administrators will receive an automated email notification
- The email contains:
- Locker name and cell location
- Employee name
- Assignment start date
- Expiry date
- This helps administrators identify unused assignments and take appropriate action
Revoking Access
To manually revoke access before the expiry time:
- Find the assigned cell in the cell list
- Click Revoke Access
- Confirm the action
- The cell will immediately become available for reassignment
